How we handle your personal information, and what you can ask us to do with it.
Who we are
Ninja Plumbers is Ninja Plumbers Limited, a company registered in England and Wales under company number 15973185. Our registered office is 48 Fulham High St, London, SW6 3LQ.
Ninja Plumbers Limited is the data controller for the information described in this policy. That means we are responsible for deciding how and why your personal information is used.

Information we collect
When you visit this website
We count how the site is used — pages viewed, and taps on our phone, WhatsApp and text-message links — so we can tell which pages bring in work. This is done in our own database, without cookies and without storing anything in your browser. These records carry no name, no email and no phone number. A page view records a scrambled one-way code derived from your IP address and your browser details. A tap on a contact link records that code, and also your browser’s identification string, the web address you came from, and the reference Google attaches to an advert click if you arrived from one of our adverts. The recipe for the code changes every night, so the code written today is different from yesterday’s and the same visitor cannot be followed from one day to the next; records already stored keep the code they were written with until they are deleted. On the day you send us an enquiry, that enquiry carries the same day’s code, so your usage records from that day can be matched to it. We keep usage records for 14 months.
Google’s advertising tag also loads on every page and sets Google’s own advertising cookies, so we can see which adverts lead to enquiries. Our Cookie Policy sets out exactly what that is, what it lasts, and how to refuse it.
Our hosting provider records standard technical information in its server logs when a page is requested, including your IP address, the page requested, the time of the request and your browser type. This happens automatically for every website and is used to run and secure the service.
Aside from Google’s advertising tag, the pages themselves are served from this domain. Two other third parties your browser may contact are the postcode lookup on the enquiry form, described below, and Supabase, our database provider, whose file storage holds the photographs on our blog articles — so opening a blog page sends your IP address and browser details to it in order to fetch the image.
When you contact us
If you call, message us on WhatsApp, email us, or submit the enquiry form on this site, we collect what you give us. For a plumbing enquiry that normally means:
- your name
- your phone number, and your email address if you give one
- the address where the work is needed, including the postcode
- a description of the problem, and any photographs you choose to send us
We only ask for what we need to quote for the work and get an engineer to the right place. You do not have to give us an email address to book a job.
Alongside what you type, the record keeps which page of the site you sent it from, your browser’s identification string, and the same scrambled one-way code derived from your IP address described above, which we use to stop one machine flooding the form. We also sometimes test different wording on the form’s button, so two people may see it worded differently; which version you saw is recorded with your enquiry so we can tell which wording works. Nothing is stored on your device to do this.
As you type the postcode into the enquiry form, your browser checks it against postcodes.io, a free public postcode lookup, so we can confirm the area and tell you straight away whether we cover it. That means the postcode and your IP address reach that service. We check it a second time on our own servers when you submit.
Reviews you leave elsewhere
Where a customer has left us a public review on Google or Checkatrade, we copy the reviewer’s name, star rating and words into our own records and republish them on our Reviews page and elsewhere on this site. We do not edit them. We do this because showing real reviews is how a trade business earns work, which is our legitimate interest. If you left us a review and would rather it did not appear on our site, email us and we will take it down.

We do not send you marketing unless you have asked us to, and we do not sell your information to anyone.
One thing is worth spelling out, because it is a use of your details beyond quoting for your job: we count how many enquiries come from each postcode district and borough, so we can see which parts of London we hear from and where it is worth advertising. That is a count of areas, not a profile of you. It is looked at as totals per area, never as a map of individual customers, and it is never used to target you with anything.
Who we share it with
We share personal information only where we need to:
- Our engineers — the person attending your job needs your address, phone number and a description of the work.
- Our hosting and IT providers — the suppliers who run this website and our systems process data on our behalf under contract. This includes the company that hosts the site, the company that stores our enquiry records, and Resend, which delivers the email alerting us to your enquiry. That email contains the details you sent us — your name, phone number, email if you gave one, postcode, address and what you told us about the job — so Resend handles them in transit.
- Our customer management system — enquiries submitted through the website are passed to GoHighLevel, the system the booking office works from, so your job reaches the person who will arrange it. It receives your name, phone number, email if you gave one, postcode and address, what you told us about the job, and which page of the site you sent it from.
- Postcodes.io — the postcode you type into the enquiry form is checked against this free public postcode lookup, as described above. It receives the postcode, not your name or contact details.
- Google — through its advertising tag, so we can measure which adverts lead to enquiries. Because the tag loads on every page, Google receives the address of each page you open, the site you came from, your IP address and your browser details, whether or not you ever contact us. When you send the enquiry form, the address of the confirmation page also tells Google which kind of job you asked about. It does not receive your name, phone number or address.
- Gas Safe Register — where a job requires gas work to be notified or certificated.
- Our accountants, and HMRC — for invoicing, accounts and tax.
- Insurers or legal advisers — if there is a claim or dispute.
We may also disclose information where the law requires it.
Information sent outside the UK
Our website hosting provider is based in the United States. It processes the technical server-log information described above, and it also handles the contents of your enquiry as that enquiry passes through the website on its way to our database — so that may happen outside the UK.
The database holding your enquiry is in London, so the record itself stays in the UK. Two of the suppliers who handle it on our behalf are US companies and may process it outside the UK: GoHighLevel, the booking system your enquiry is passed to, and Resend, which delivers the email alerting us to it.
Each of these transfers relies on the safeguards that supplier has in place. If you want to know the arrangement for a particular supplier, email us and we will tell you.
How long we keep it
- Enquiries that do not become jobs — up to 12 months, so we can pick the conversation back up if you come back to us.
- Records of completed work, invoices and payments — six years from the end of the relevant accounting period, which is what tax law and the usual limitation period require.
- Gas safety records — for as long as the relevant regulations require.
- Website usage records — the page views and contact clicks described above — 14 months, then deleted automatically.
- Website server logs — for the short retention period set by our hosting provider.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- have inaccurate information corrected
- ask us to delete information, where we no longer have a reason to keep it
- ask us to restrict how we use it while a concern is looked into
- object to us using it on the basis of our legitimate interests
- ask for the information you gave us in a portable format
- withdraw consent, where we relied on consent
To exercise any of these, email info@ninjaplumbers.co.uk. We will respond within one month. There is no charge.
Some of these rights are qualified. For example, we cannot delete records we are legally required to keep, such as invoices or gas safety certificates. If that applies we will tell you why.
Complaints
If you are unhappy with how we have handled your information, please tell us first — call 020 3576 5825 or email info@ninjaplumbers.co.uk and we will look into it.
You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
If we change how we handle personal information — for example if we add website analytics, or turn on photo uploads in the enquiry form — we will update this policy and change the date at the top.
